Hall Hire

Our Function Hall is available for hire, but only to members as of 2021, and subject to Government restrictions. It is a great venue for hosting Wedding Receptions, Christenings, Parties, Exhibitions, Wakes, Meetings etc.

The hire includes the bar during opening hours. ALL drinks, alcoholic or otherwise, MUST be purchased from the bar.

Friday & Saturday night hall hire starts from £150 for existing members (of at least 6 months). A deposit of £50 is required with the remaining balance to be paid two weeks before the event. Hall hire is also available Sundays, weekdays, and afternoons at lower rates. Enquire about Fridays!

We have two function areas, so do not assume that if there is a club event on your chosen day, that the main hall is unavailable.

Individual Event

Introduction

Private Hiring is for Members only that have held their membership for a minimum of 6 months. Hiring our hall imposes a heightened level of responsibility on the hirer, in respect of the club, the members, and our neighbours, especially as many attending these events will not themselves be members, and the hirer is entirely responsible for the actions of his guests, and for representing and acting upon club instructions.

There is a booking “deposit” which currently stands at £50 for a Saturday night booking.

To confirm the booking please complete the Booking Form, obtain sign-off, and payment of the deposit reserves the date.

The balance of the hire fee is due 6 weeks before the event date.

Cancellation by the Hirer

If the hirer cancels the booking less than 6 weeks before the event they will lose the full amount of the charge. The Committee will consider exceptional circumstances.

Cancellation by the Club

The club may cancel the booking

  1. If the club, or any part of it is closed due to fire, alteration, dispute or by order of any public authority
  2. If the Hirer does not make payments as per the conditions above
  3. If the event might prejudice the reputation of the club

All cancellations or amendments must be confirmed in writing

The Hirer is responsible for cleaning the facilities used, including stacking chairs, removing food / rubbish, and relocating tables. Also includes removing decorations, tidying through and returning the hall back to the same state that it was received, within the hire duration.

** The hall will only then be additionally vacuumed and tables wiped as a matter of course by staff.

Alternatively, the club may agree a fee with the Hirer to clean, stack chairs and put away the tables used, etc during / after the event on the Hirers behalf.

The Hirer is responsible for the cost of any additional cleaning that may be required, such as to remove vomit and/or diarrhoea, and the hall being put out of operation.

It is the responsibility of the Hirer to ensure food provision meets the necessary Health & Safety and Environmental requirements. The Club does not accept any liability or responsibility should any guest become ill due to food served by the Hirer.

The club will NOT accept bookings for 18th birthday parties. Should it become apparent that a booking is actually for an 18th the booking will be cancelled and any money paid will NOT be refundable.

The club will not be responsible for the damage/loss of any articles left in the club prior to, during or following the event.

Only members and their signed-in guests are allowed into the small bar.

The Hirer will be liable for the costs associated with any repairs required as a result of any damage caused to any part of the club by the negligence, wilful act or default of any person attending the event.

The affixing of signs, displays and posters must be approved by the Club in advance.

All events must conclude promptly at the agreed time. As a matter of licensing conditions, the bar will stop serving at 11.30pm, and music will end at 12pm, except with prior agreement. All guests must vacate the club by 12.30am except with prior agreement.

When all guests have gone, 15 minutes will then be allowed for the Hirers to vacate, and allow staff to go home. An additional charge will be made if the hall is not then vacated.

It is the responsibility of parent(s)/guardian(s) to supervise their children. The Club does not accept duty of care for children. If they are in the club, then they should be in the function hall (except for calls of nature), and not on the stage, or other areas of the club. In the event of any concerns over behaviour the Club may take appropriate action.

It is the responsibility of the Hirer to maintain order with their guests. In the event of any concerns over the behaviour of guests, the Club may take appropriate action. Absolutely no drugs!

Be respectful of our neighbours and please be quiet when you leave. It is the responsibility of the hirer to ensure that guests respect these rules and do not congregate at the front at any time during the function or when leaving.

The hirer shall comply with all conditions and regulations as provided by any statutory body such as local council, fire and ambulance and health and hygiene if serving food.

The hirer shall not sub-let the premises.

It is against the law to smoke in any part of the building. No smoking or congregating to the front of the club!

Coulsdon Victoria Social Club shall not be responsible for any loss, damage or injury incurred to property or persons during the use of the hall by the hirer arising from any breach of the hire agreement. Accidents must be reported in writing to the Secretary within 24 hours of the event.

The hirer is responsible for the safety and wellbeing of his/her guests at all times.

The hall must be left clean and tidy and all rubbish (especially food) must be cleared from the site.

No alcohol to be brought onto the premises, except through the club's own licensed bar.

Club rules state that the hall cannot be hired for any profit making events, unless previously agreed with the Committee.

Any electrical equipment brought onto the premises must have been PAT tested.

Attendees should be by a direct “invite only” from the hirers, rather than an open invite. If unsure, please discuss with the club!

The club reserves the right to levy a reputational charge/fine as appropriate against the Hirer for bad behaviour, a lack of control, rule breaking, either inside, or directly outside our club, especially where it effects our neighbours, and will work with police to address any law breaking activities.
